Grants Associate & Administrative Assistant Job Description

As a Grants Associate & Administrative Assistant, you will provide comprehensive administrative support to the Grants Management team, assisting in the efficient operation of securing and managing grant funds. You will support the grants application process, manage grant documentation, and perform various administrative tasks to ensure the smooth functioning of the department. Here are your key responsibilities:

 

Grant Preparation & Management

  • Assist in the preparation of grant applications, including research, data collection, and documentation.
  • Maintain an organized system for tracking and monitoring grant proposals, reports, and documentation.
  • Support the Grants Manager in the coordination and submission of grant reports, ensuring compliance with grantor guidelines.
  • Facilitate communication between departmental teams and external funding bodies or partners.

 

Administrative Support

  • Perform general administrative duties including drafting correspondence, scheduling meetings, and managing files.
  • Organize and maintain electronic and paper files related to grants and other departmental documents.
  • Assist in budget tracking and financial record-keeping for grants.
  • Provide logistical support for grant-related meetings and events, including preparing materials and coordinating logistics.

 

Communication & Coordination

  • Act as a liaison between the grants department and other departments within the organization to ensure effective communication and coordination.
  • Assist in the development and distribution of internal communications related to grant activities.
  • Manage inquiries related to grants from internal and external stakeholders.

 

Qualifications

To excel in this role, you should possess the following qualifications:

  • Must be local to the DC, Maryland, Virginia area.
  • Bachelor’s degree in a relevant field (e.g., business administration, finance, non-profit management) or equivalent experience.
  • 1-2 years of previous experience in an administrative role, preferably in a non-profit or grants management context.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with grants management software (e.g., Salesforce or other CRM) is a plus.
  • Ability to work independently and as part of a team.
  • Knowledge of grant funding policies and procedures and experience in grant writing is highly desirable.
  • Flexibility to handle multiple tasks and meet deadlines.
  • International experience (Peace Corps, foreign language service, travel, etc.) is a big plus.
  • Interest in development, corporate social responsibility, and/or charitable giving.
